Presentation guidance

Oral Presentations

Presenters should be at the venue at least an hour before the session begins to meet with the session chairs – the names of the chairs will be published on the schedule and their email addresses will be made available. Presentations must be uploaded to the computer in the session room before the session begins. The computer will contain a folder with the session name. There is a volunteer available generally sitting near to the BIS registration desk who can assist with this.

Presentations should be in MS PowerPoint or Acrobat PDF. Presenters are allowed 20 minutes for presentations, including questions. Chairs will give a 2-minute warning to wrap-up.

Each session room is equipped with one computer/video projector 16:9, a microphone, a lectern, and a pointing device. The software installed on the computer includes:

  • Windows 7
  • MS Office 2013 Professional (Power Point, Word)
  • Adobe Acrobat Reader
  • Windows Media Player 12

The media player is only available with standard codecs. Use of standard True Type fonts is suggested for PowerPoint presentations. In the case that a ppt contains a video or animation, please ensure that both files (Power Point and video – MPG AVI) are in the same folder.

As a baseline, presentations from personal laptops are not allowed, to ensure a smooth programme running and to minimise the transition time between presentations.

There is no speaker ready room at this year’s venue. Presenters are advised to check well in advance of their presentation if formulas/animations/videos are shown correctly.

Poster Presentations

For each poster abstract, one poster board in portrait format is reserved with a clear dimension of 80 cm (width) x 140 cm (height). All the material necessary for sticking the poster to the board is available in the Poster area. Note: there are no facilities for printing posters in the venue.

Therefore the recommended poster dimensions are A0 (height: 119cm, width: 84cm, portrait orientation)

Posters can be mounted on Tuesday morning and shall be dismounted on Thursday evening. The poster sessions are scheduled from Tuesday to Thursday break times and each poster author has been given a slot to talk at.

The presence of the author is recommended for the duration of the Poster Session at break times to answer questions. The coffee breaks are served close by the poster area to increase the opportunities for participants to visit the posters.

Authors can also prepare a presentation containing 2-3 slides which, in the case of a no show from presenters in the related oral sessions, can be presented upon invitation of the chairs during the oral sessions.

N.B. All the posters left behind in the Poster Session room, are disposed of.

Authors pay the reduced (concession) rate for RISpace.
